Contact Records

Where you give us your details through any form on this website, we create a contact record in our own systems. That record may include:

• The information you provided, and which form or page you provided it on
• A history of your interactions with us — resources downloaded, checkers completed, emails we have sent you, and whether those emails were opened or clicked
• A record of any consent you gave, including the date, the page it was given on, and the IP address and browser used. We keep this as evidence that consent was properly obtained.

Risk Assessment Generator

When you use our Risk Assessment Generator tool, we collect additional information necessary to create your assessment:

• Business name and address
• Industry sector
• Activity or task being assessed
• Assessor name
• Risk assessment content (hazards, controls, risk ratings)
• Payment information (processed securely by Stripe - see below)

Our AI-powered assistant uses your sector and activity information to suggest relevant hazards and control measures. This information is processed by our AI provider (Anthropic) but is not stored by them beyond the immediate request.

Information Collected Automatically

When you visit our website, we may automatically collect certain information about your device and usage, including:

• Processing an order — taking payment, delivering your purchase and providing support. Basis: contract.
• Keeping records of purchases for accounting and tax purposes. Basis: legal obligation.
• Understanding how the website is used and improving our content. Basis: legitimate interests — our interest in maintaining and improving a website that serves its readers, weighed against the limited impact on you.
• Keeping accurate contact records, and keeping our forms secure — including preventing spam and abuse. Basis: legitimate interests — our interest in running the service securely and being able to show who we have dealt with and what they agreed to.

Data Sharing

We do not sell your personal information. We may share your information with:

• Our team: Authorised staff of Integral Safety Ltd may access your information through our secure admin systems to provide customer support, process orders, and improve our services. Access is limited to staff who need it for their role.
• Integral Safety Ltd: Safety Clarity is a trading name of Integral Safety Ltd, a practising health and safety consultancy — not a separate company. Information you give to Safety Clarity is held by Integral Safety Ltd and its consultants may see it. This is not a transfer to a third party; it is the same organisation. We do not currently pass your details to any outside company for sales or marketing purposes, and we will update this policy before we ever do.
• Service providers: Third parties who help us operate our website and deliver our services (e.g., payment processors, email service providers, hosting providers, analytics services). These providers are contractually obligated to protect your information.
• Legal requirements: If required by law or in response to valid legal process.

Data Retention

We retain your personal information for as long as necessary to:

• Provide the services you requested
• Comply with legal obligations
• Resolve disputes and enforce agreements

Newsletter subscribers: We retain your email address until you unsubscribe. You can unsubscribe at any time using the link in any email we send.

Risk Assessment Generator: Your risk assessment data and download links remain active for 30 days after purchase. Purchase records (excluding assessment content) are retained for 6 years to comply with UK accounting and tax requirements. You may request deletion of your assessment content at any time after purchase by contacting us.

Contact records: We keep your contact record for as long as you remain subscribed to our emails, and for 24 months after your last interaction with us if you are not. After that it is deleted. Records of consent are kept for as long as we hold the contact record and for 12 months afterwards, so that we can evidence what you agreed to.

Checker submissions: Your answers and the results generated are kept for 24 months, so that we can send you your results and answer any questions about them. You can ask us to delete them sooner.

Analytics data: Aggregated analytics data may be retained for up to 26 months for trend analysis.

Your Rights

Under UK GDPR, you have the right to:

• Access: Request a copy of the personal information we hold about you.
• Rectification: Request correction of inaccurate or incomplete information.
• Erasure: Request deletion of your personal information in certain circumstances.
• Restrict processing: Request that we limit how we use your information.

Do You Have to Provide Your Information?

No. Giving us your details is always voluntary — there is no statutory or contractual requirement to do so. You can read everything on this website without providing any personal information at all. The only consequence of not providing it is that we cannot give you the specific thing you have asked for: we cannot email you a checker result or a download without an email address, and we cannot fulfil an order without the details needed to process it.

Automated Processing

Our systems give contact records an internal priority rating based on how you have interacted with the site — for example which resources you downloaded or which checkers you completed. We use it to decide who to follow up with first.

This is not automated decision-making within the meaning of Article 22 of the UK GDPR. It has no legal or similarly significant effect on you, it does not affect what you are charged or what you are shown, and any decision to contact you is taken by a person. International Transfers

Our hosting provider (Hetzner) is in the EU and our email provider (Brevo) is in France. Both are covered by the UK government's adequacy decision for the EEA, so no additional safeguards are needed.

Two of our providers are in the United States:

• Google — analytics data. This transfer is covered by the Google Ads Data Processing Terms, which we have accepted and which incorporate the standard contractual clauses and the International Data Transfer Addendum issued by the ICO.
• Anthropic — used only by the Risk Assessment Generator, and only to suggest hazards and control measures. We send it the sector and a description of the activity being assessed. We do not send it your name, your business name, your address, your email address or any other identifying detail — those are used only to produce your document and are never shared. Please do not type names or addresses into the activity description, as that text is sent to generate the suggestions.

Children's Privacy

Our website is not directed at children under 16 years of age. We do not knowingly collect personal information from children under 16. If you become aware that a child has provided us with personal information, please contact us and we will delete it.

Security

We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. However, no internet transmission is completely secure, and we cannot guarantee absolute security.
